Meeting

Neil： Hi, Sandra, you have been in this company for several years. Could you tell me what I should do to prepare for a conference ?

Sandra： Sure. First of all, the agenda should be prepared before the meeting. Then you should ensure that those to be present are properly informed. At last, you should make sure that all aspects are ready.

Neil： All aspects?

Sandra： Projector and microphone work properly.

Neil： And what?

Sandra： According to the number of company crews , you need to prepare the conference tables and folder chairs.

Neil： Anything else?

Sandra： paper cups and dry erase makers . That's all.

Neil： I see, and how about the briefings and the information?

Sandra： All the necessary briefings and information relevant to the meeting should be available, preferably printed and distributed before the meeting.

Neil： And what should I do during the meeting?

Sandra： Of course, you should have meeting records .

Neil： And after the meeting?

Sandra： After the meeting you should type the meeting records up, and keep proper records of the business transacted and the resolution passed, and also implement any decision reached at the meeting.

Neil： Thank you very much. You are very helpful.

Sandra： Not at all.

尼爾： 嗨，桑德拉，您在這家公司好幾年了，您能告訴我該怎么進(jìn)行會議的準(zhǔn)備工作嗎？

桑德拉： 當(dāng)然。首先，開會前要準(zhǔn)備好議程。然后保證應(yīng)該出席會議的人都通知到。最后要保證會議需要的東西準(zhǔn)備好。

尼爾： 全方面？

桑德拉： 投影機(jī)和麥克風(fēng)要能正常地工作．

尼爾： 還有什么？

桑德拉： 根據(jù)公司成員的人數(shù)準(zhǔn)備會議桌和椅子。

尼爾： 還有別的嗎？

桑德拉： 紙杯和白板筆。

尼爾： 我明白，還有簡報(bào)和資料怎么弄？

桑德拉： 所有有關(guān)會議的簡報(bào)和資料都得準(zhǔn)備妥當(dāng)，最好在會議前印好并發(fā)出去。

尼爾： 那么在會議期間我要做什么呢？

桑德拉： 當(dāng)然你要做紀(jì)錄。

尼爾： 會后呢？

桑德拉： 會后你要把討論的問題和通過的決議的紀(jì)錄打印出來，并把會議上作出的決定進(jìn)行貫徹。

尼爾： 非常感謝你。幫了我大忙了。

桑德拉： 不用謝。
